How to Set Up Custom SMTP on Goodfit

Send candidate interview invite emails from your own company domain instead of Goodfit's default sender.

What is Custom SMTP?

By default, all candidate emails (interview invites, reminders etc) are sent from a Goodfit email address. With Custom SMTP, you can route these through your own mail server - so candidates see emails from [email protected] instead.

This improves deliverability, builds candidate trust, and keeps your brand consistent.

⚠️ You'll need your IT team for this. SMTP setup requires credentials from your mail server. If you're not sure who to ask, contact your IT or infrastructure team.

💡 Using Gmail? You'll need an App Password — not your regular login. Go to Google Account → Security → App Passwords.

Step-by-step setup

  1. Go to Settings → Email Settings in the left sidebar.

  2. Under Custom SMTP, click your mail provider (Gmail, Outlook, Yahoo, or Amazon SES) — this pre-fills Host and Port for you.

  3. Confirm the Host, Port, and Encryption with your IT team.

  4. Enter the Sender Name and Sender Email — what candidates will see.

  5. Click Continue and enter your SMTP login credentials.

  6. Use Save & Test to verify. Goodfit will send a test email to confirm.


Troubleshooting

  • Authentication failed — Check your credentials. Gmail users need an App Password, not their account password.

  • Connection timeout — Try switching between port 587 (TLS) and 465 (SSL).

  • Test email not received — Check spam. Confirm the sender email is authorised on your mail server.
